Electronic communication (email, fax, text, or telephone)

When visitors, suppliers, customers, or colleagues contact us electronically, we retain personal data.

Any personal information provided electronically by you to produce Photo ID cards is deleted from our systems seven days after the cards are despatched. We will retain certain records of card production which will include personal data for a maximum period of seven years to comply with our accounting responsibilities.

Contact forms

When visitors to our web site use our contact form, it will be necessary for us to retain personal information provided to respond to the submitted query and maintain any ongoing contract.

Comments

When visitors leave comments on the site, we collect the data shown in the comments form, and the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

You may supply images to us for Photo ID card production. Any images are anonymised during the card production process and all images supplied for and produced by the process are deleted seven days after ID cards are despatched.

Third party platform advertising

Where you respond to communications we post on third-party platforms (such as LinkedIn, Instagram, Facebook, Google and Twitter), we may also share your information with those third parties in order to serve targeted advertising/content to you via the relevant third party platform based on your profile/interests.  Your information is used by the third-party platform provider to identify your account and serve advertisements to you.  You can control what advertisements you receive via the privacy settings on the relevant provider’s platform and you should consult the third party’s help/support centre for more information.

For website visitors leaving a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
